Zoho + Custom Software

Zoho CRM Customer Portal Development

Customers, partners and suppliers sign in to a portal of your own and see their orders, invoices, tickets and files from Zoho CRM, Books, Desk and WorkDrive - without ever needing a Zoho login.

Overview

Client and partner portals built on the Zoho data you already keep.

Most businesses on Zoho reach the same point. Customers email to ask where their order is, partners want a copy of last month's invoice, and someone on your team looks it up in CRM or Books and writes back. A customer portal lets them look it up themselves - signed in, at any hour, seeing only their own records.

Zoho has portal features of its own, and for many businesses they are enough; if yours is one of them, we will say so. A custom portal is for when they are not: when customers need data from several Zoho apps in one place, when the portal is part of the product you sell, or when the process behind it fits none of Zoho's portal screens.

We build those portals in Next.js and TypeScript, with a server layer that holds the Zoho connection, so customers never touch Zoho and your credentials never reach a browser. And because we also work inside Zoho, the portal and the Zoho side are designed together.

Your options

Zoho customer portal options, compared honestly

There are four ways to give customers a login to your Zoho data. Three of them cost less to start with than a custom build, and for plenty of businesses one of those three is the right answer.

Zoho's own portal features

Zoho CRM Portals opens the CRM modules and fields you choose to invited customers, partners or vendors, with permissions per user group. Zoho Books has a customer portal for quotes, invoices, payments and statements; Zoho Desk has a help center for tickets. They are configured, not built, so they launch fastest - but each covers only its own app, and CRM Portals is not on every CRM edition.

A Zoho Creator portal

A login to an app built in Zoho Creator, so it can run a process the built-in portals cannot - multi-step requests, uploads, approvals - with Deluge reading and writing CRM records behind it. You work within the screens Creator provides, and your portal-user allowance depends on the add-on chosen with your plan.

A Marketplace portal app

Zoho Marketplace lists third-party portal products for Zoho CRM, some also covering Books, Desk or WorkDrive. If one fits, it is the fastest route to a portal across several apps - but you are subscribing to someone else's design, roadmap and pricing, so check which CRM editions it supports before you commit.

A custom-built portal

A web application on your own domain that talks to Zoho's APIs from a server. It can combine any Zoho app with outside systems, look exactly as you want and follow any process. It costs the most to build and is software you then maintain, so we only recommend it when the other three fall short.

When to build

When a custom Zoho portal is worth it

A custom portal earns its cost in a handful of situations. If none of them describes you, start with one of Zoho's own options - we would rather set that up than build something you don't need.

Your customers' data spans several Zoho apps

Projects in CRM, invoices in Books, tickets in Desk, documents in WorkDrive. Zoho's built-in portals are separate, one per app; a custom portal puts all of it behind one login.

The portal is part of what you sell

For a software company, an agency or a service business, the portal is the customer's everyday experience of you. It needs your design and your onboarding, not a configured screen.

The process doesn't fit a template

Quoting with your own pricing rules, onboarding in stages, booking against live availability, or anything that mixes Zoho data with a system outside Zoho.

You have a lot of portal users

CRM and Creator portals both cap portal users by allowance, with paid tiers or add-ons beyond it. With enough users, a portal with its own accounts can cost less to run - we compare the two with your real numbers, API add-ons included.

How it's built

How we build a custom Zoho CRM portal

The architecture is the same every time, because it is the one that keeps your Zoho credentials safe: the browser talks only to your portal, and only the portal's server talks to Zoho.

A Next.js front end

Your customers' screens, built in Next.js, React and TypeScript, on your domain and in your branding. Account pages are rendered for the signed-in user and never cached where someone else could be served them.

A server layer that owns the Zoho connection

Next.js server code for a smaller portal, or a NestJS service when the logic justifies one. It checks who the user is, decides what they may see and calls Zoho on their behalf.

Zoho's REST APIs over OAuth

The server connects with OAuth 2.0, through a client registered under your own Zoho account. Access tokens expire after an hour and are renewed with a stored refresh token; both stay on the server, encrypted.

Only the scopes it needs

Zoho scopes can be narrowed to particular modules and operations - read-only access to invoices, say. We request only what the portal uses, so a leaked token can do as little as possible.

Inside the portal

What your customers can see and do

What goes into the portal is your decision, and the first thing we agree. None of it has to be read-only: approving a quote, updating contact details or uploading a document can be written back to the right Zoho record, with a note of who did it and when.

Their records from Zoho CRM

Deals or projects and their stages, quotes, orders, contracts and service history - from the modules and fields you choose, and nothing else.

Invoices and payments from Zoho Books

Open and paid invoices, statements and payment history. Paying can hand off to a payment link generated by Zoho Books, so card details never pass through the portal.

Support tickets from Zoho Desk

Raising a request, following the replies and seeing its status, with the conversation kept in Desk, where your support team already works.

Files from Zoho WorkDrive

Documents shared from the customer's own folder, and uploads that land straight in it. We built our own WorkDrive extension for Zoho CRM, so this is familiar ground.

Security

Security and data separation

A customer portal must never show one customer another customer's data. Zoho can't tell your portal users apart - every call arrives through the same connection - so keeping customers separate is the portal's job, and the first thing we build.

Every request is tied to the signed-in customer

The server, not the browser, works out which Zoho account or contact a user belongs to, filters every read by it, and checks ownership and role before every write. Changing an ID in the address bar gets nothing.

Sign-in that suits your customers

Email and password with two-factor authentication, emailed sign-in links, or single sign-on for business customers, with sessions that expire and can be revoked.

Tested the way an attacker would try it

Before anyone real is invited, we sign in as several test customers side by side and try to reach each other's records. After launch, an audit log records who viewed and changed what.

API limits

Staying inside Zoho API limits

Every Zoho app limits API use. Zoho CRM counts calls in credits over a rolling 24-hour window, with an allowance that depends on your edition and number of user licenses, and separately caps how many calls can run at once; Books and Desk set limits of their own. The figures change, so we check your current allowance before designing the sync.

Cache what customers read

Invoices, orders and project stages change a few times a day at most. The portal keeps its own copy in PostgreSQL and serves pages from it, so a refresh costs no API calls at all.

Let Zoho announce changes

Workflow rules can call a webhook when a record changes, and Zoho CRM's notification API reports changes across a module, so the portal updates its copy instead of polling. A scheduled bulk reconciliation catches anything a webhook missed.

Queue writes with retries

Customer actions are queued and sent to Zoho with retries and backoff, so a burst of activity or a rate-limit response delays a write instead of losing it.

Benefits

What you get out of it

Outcomes that matter to your business - not just features.

Fewer status emails

Customers check orders, invoices and tickets themselves instead of asking your team to look them up.

No Zoho logins to hand out

Portal users sign in to the portal. Your Zoho org stays closed to everyone outside the company.

One sign-in, several apps

CRM, Books, Desk and WorkDrive data behind one login and one design, instead of a separate portal per app.

Built around your customers

Your design, your domain and your process, rather than the screens a portal product ships with.

Our process

How we deliver this service

1

Check what Zoho already gives you

Your editions, the portal features you already pay for, and the API limits the portal must live within.

2

Map who sees what

Each kind of portal user, the records that belong to them, and how each Zoho app ties a record to a customer.

3

Design the sync

What is cached, what webhooks refresh and what writes back to Zoho - sized against your actual API allowance.

4

Build and test in slices

One working screen at a time, tested with separate test customers to prove each sees only their own records.

5

Launch and hand over

Deployment to hosting you own, the first invitations, monitoring, and documentation for whoever maintains it.
