Zoho Data Migration Services
Switching to Zoho? We migrate your data cleanly and completely from legacy systems, spreadsheets, or other CRMs - with validation at every step.
Move to Zoho safely - every record counted, a planned cutover.
Migration is where many CRM projects go wrong. We treat it as a discipline: map every field, clean the data, run trial migrations, and validate results before go-live.
Whether you're moving from Salesforce, HubSpot, Pipedrive, or spreadsheets, we map relationships, history and attachments so they come across intact - and check that they did.
What's included
- Source data audit & field mapping
- Data cleansing & de-duplication
- Trial migrations & validation
- Relationship & history preservation
- Attachment & document migration
- Salesforce / HubSpot / Pipedrive imports
- Spreadsheet & legacy system imports
- Post-migration verification & sign-off
What Zoho CRM migration actually involves
A migration is not an export and an import. Exporting gives you flat files; your old system held relationships - which contact belongs to which account, which deal to which contact, which notes and emails to which deal. The work is preserving those relationships, along with owners, history and attachments, in a system whose data model is different from the one you are leaving.
It also tends to be the least visible and most consequential part of a Zoho project. Configuration can be adjusted after go-live. A migration that lost the link between half your deals and their accounts, or stamped every record with today's date, is very hard to repair once people have started working in the new system.
What goes wrong in CRM migrations
These are the failures we see most often in migrations that were rushed or done with a generic import tool. Each is preventable; none is easy to fix afterwards.
Relationships broken on the way in
Records arrive but are no longer linked, because the import matched on names instead of IDs. We map source IDs to Zoho IDs and import in dependency order - accounts, then contacts, then deals, then activity - so every link resolves.
History stamped with the import date
Every deal appears to have been created on migration day, and every report built on dates is wrong. We carry original created and modified dates wherever the target supports it, and keep them in dedicated fields where it does not.
Duplicates multiplied
The old system had duplicates and the import added more. We de-duplicate on agreed rules before loading, and decide with you which version of a conflicting record wins.
Picklists and owners that do not map
Values that exist in the old system but not the new one get silently dropped or defaulted. Every picklist value and every user is mapped explicitly, and anything unmapped is reported before the run, not discovered after it.
Systems we migrate to Zoho from
The approach is the same whatever the source; what changes is how the data can be extracted, and that depends on the source system's export options and API access on your plan.
Other CRMs
Salesforce, HubSpot, Pipedrive, Dynamics and others - including custom objects, activity history, notes and attachments where the source allows them to be exported.
Spreadsheets and shared drives
Often the messiest source and the most important to get right, because the structure exists only in how people have been using the columns.
Legacy and in-house systems
Access databases, old on-premise software and bespoke systems, extracted from the database or exported files when there is no API.
Between Zoho apps and orgs
Consolidating several Zoho orgs into one, or moving data into a new Zoho One setup from standalone apps.
How we check a migration is complete
A record count is not a check. Two systems can hold the same number of records while every amount, owner and link is wrong.
We reconcile at several levels: counts per module, totals on money fields, a sample of records compared field by field, and every relationship type confirmed to resolve. Trial runs happen in a sandbox, and you review the result in Zoho before the final run. The final migration is scheduled so the old system is frozen for as short a time as possible, and a delta run picks up anything changed during the switchover.
