WorkDrive In Zoho CRM release notes
Every version, newest first. Currently on 12.0, released 8 October 2026. Updates arrive through Zoho Marketplace - your settings and folders are kept.
Version 12.0
WorkDrive In Zoho CRM 12 is the largest release so far, and most of it is new ground rather than polish: file requests that let someone outside your team drop files straight into a record's folder without a WorkDrive account, labels, data templates, WorkDrive workflows, full version history, a whole folder downloaded as one ZIP, editing a share link after you have already sent it, extracting a ZIP, converting an Office file to Zoho Writer, Sheet or Show, a file summary written by Zia, and a 30-day activity log for the folder you are in. It also lifts the 50-item ceiling that quietly hid the rest of a large folder from the record, along with the same ceiling in Sync Attachments and in the Move and Copy destination lists, and the extension has a new logo. This one needs upgrading to version 12 in Zoho Marketplace, and because it asks for new WorkDrive permissions the WorkDrive connector has to be authorized once more afterwards; until an org upgrades, none of the new items appear and the panel works as it did. Comments can be read in Versions & details, but writing them - posting, replying, resolving and deleting - is locked until v13: the tab says so and links to the file in WorkDrive, where you can comment meanwhile. Labels and workflow steps are done in WorkDrive under the WorkDrive account the extension is connected with, since that is the account every action from CRM runs as, so everyone using the panel shares that account's labels.
- added
Request files from a customer
The ⚙ menu has Request Files from a Customer. It makes a link you send to someone outside your team; they open it, give their name and email, and drop their files, which land straight in the folder you were looking at. They need no WorkDrive account and cannot see what is already there. You can set an end date and the largest file they may send, see who has sent what, and stop or delete the request when you are done.
- added
Labels
A file's or folder's menu has Labels, to tick the labels it should carry or make a new one. The labels show as small coloured dots beside the name in the list.
- added
Data templates
A file's menu has Data template. Pick one of your WorkDrive team's data templates and fill in its fields, and the values are saved on the file in WorkDrive, where they can be searched. Fields named like the record's own fields start with the record's values, and any field can be filled from the record in a click.
- added
Workflows
A file's menu has Workflow, to start one of your team's WorkDrive workflows on it, such as a review or an approval, see which step it is at, and take the next step. If WorkDrive will not say what a workflow asks for, it still starts, and WorkDrive says so if anything was needed.
- added
Download a folder as one ZIP
The ⚙ menu has Download Current Folder as ZIP. The ZIP is made in the folder itself and offered for download when it is ready, so you can also close the dialog and download it from its row later.
- added
Version history
Versions & details on a file lists every version, and lets you make an older one current again or delete one.
- added
More in Versions & details
Alongside versions and comments: how many times the file has been viewed and downloaded, inside your team and through public links, and a summary of the file written by Zia, when you ask for one. Zia works on documents such as PDF and Word files; when it cannot summarise a file, the panel says so instead of asking you to try again.
- added
Change a link after sharing it
In Anyone with the Link, each existing link has Edit, to add or remove a password, move its end date, or turn downloading on or off, without sending a new link.
- added
Extract a ZIP, convert to a Zoho document
A .zip file's menu has Extract here. A Word, Excel or PowerPoint file's menu has Convert to Zoho Writer, Sheet or Show, which makes an editable Zoho copy beside the original.
- added
Recent activity
The ⚙ menu has Recent Activity in This Folder: what was added, renamed, moved or deleted here, and by whom, over the last 30 days.
- changed
A new logo
A record card rising out of an open folder: the record's files, kept in WorkDrive. It is the extension's icon in Marketplace and the logo at the top of Settings, where it sits as well on the dark theme as on the light one.
- changed
Settings shows the "WorkDrive Files" step only when it needs you
That is when the widget is missing, points at the wrong address, or has just been created. Once it is in place the step stays out of the way, and Back-fill becomes step 4.
- changed
A file over 250 MB says where to upload it
The panel's upload limit stays 250 MB; the message now says to upload a bigger file in WorkDrive directly.
- fixed
A missing WorkDrive permission showed a general error
It now says to ask the administrator to re-authorize the WorkDrive connector, which is what an org sees if it upgrades and skips that step.
- fixed
Folders with more than 50 items showed only the first 50
The rest were in WorkDrive but out of reach from the record. The list now has pages, and sorting a long folder sorts all of it, not just the page on screen.
- fixed
Sync Attachments could copy a file twice into a large folder
It only checked the first 50 names in the folder for a file that was already there. It now checks them all.
- fixed
Move and Copy offered only the first 50 folders as destinations
- fixed
A file's menu could run off the bottom of the panel, leaving Move to trash out of reach
The menu now fits on screen, and scrolls when the panel is too short for all of it.
- fixed
The star, lock and final marks sat a little off the middle of a file's name
They, and the file's icon, are now centred on it.
Version 11.03
WorkDrive In Zoho CRM 11.03 lets you move, copy and favourite several files at once from the selection bar, share a file or folder with everyone in the WorkDrive team in one go, create a link that only downloads and stops after a set number of downloads, and mark a file as final from its menu. It also stops dialogs creeping down the page while you use them. Like 11.02, this is the files panel only. There is nothing to upgrade and nothing to enable: it reaches every org as soon as it is published, and a reload is enough. Every new item uses WorkDrive access the extension already has, so nobody is asked to authorize anything again.
- added
Move, copy and favourite several files at once
When you tick files or folders in the list, the bar above it now offers Move, Copy to and Add to favourites beside Delete. Until now the only thing you could do to a selection was delete it, so moving ten files meant going through the row menu ten times. If a few of the items can't be moved or copied, the message says how many went through and how many didn't, and why. It doesn't just say "moved".
- added
Share with everyone in the team
The team-members share dialog has a second choice at the top, Everyone in the team. It gives the whole WorkDrive team access to a file or folder at the permission you pick, in one go, instead of ticking people one by one. The entries that open the dialog are now called Team Members, since they cover both.
- added
A link that only downloads, a set number of times
Share with anyone on the internet has a new access level, Download only, a set number of times. The link goes straight to a download, not to a viewer, and it stops working after the number of downloads you set. It can still have an end date as well. Use it to send a customer a file to keep, such as a signed contract or an invoice, without leaving it open for good.
- added
Mark a file as final
A file's menu has a new item, Mark as final, for a signed contract or an approved quote. It asks before it does anything, because it can't be undone from the files panel. Once it's done, the file carries a small final mark next to its name. WorkDrive doesn't report whether a file was already marked final, so the mark shows only for files marked from the panel in the current session, and after a reload a final file may offer Mark as final again. Marking it again just leaves it marked.
- fixed
Dialogs crept down the page while you used them
With a dialog open, every message that appeared, such as "Link copied", made the panel 8 pixels taller and moved the dialog down by half that. Some dialogs also moved when a tick box opened more options inside them. Dialogs now stay where they opened, and the panel stops resizing while a dialog is open.
Version 11.02
WorkDrive In Zoho CRM 11.02 adds two items to the files panel: New Zoho Document in the ⚙ menu, which creates a document, spreadsheet or presentation in the folder you are looking at and opens it in Zoho Writer, Sheet or Show, and Upload new version in a file's menu, which replaces a file while WorkDrive keeps the previous copy in its version history. It also gives the two share dialogs a calendar and a time list in place of the browser's own date and time boxes, stops Download and Open in WorkDrive reporting a blocked tab when the tab had opened, fixes a folder back-fill re-run that could fail on the same records every time, and makes every action in the files panel check that what it acts on belongs to the record's folder. Like 11.01, this is the files panel and Settings only. There is nothing to upgrade and nothing to enable: it reaches every org as soon as it is published, and a reload is enough.
- added
Start a Zoho document from the record
The ⚙ menu in the files panel has a new item, New Zoho Document. Choose a document, a spreadsheet or a presentation, give it a name, and it is created in the folder you are looking at and opened in Zoho Writer, Sheet or Show in a new tab. Until now the only way to get a document into a record was to write it somewhere else and upload it.
- added
Upload a new version of a file
A file's menu has a new item, Upload new version. Pick the updated file from your computer and it replaces the one in the record - under the original file's name, whatever the new one is called on your computer - while WorkDrive keeps the previous copy in the file's version history. Before this, uploading an updated contract or quote left two files side by side, and nothing said which one was current.
- changed
Choosing a date when you share
"Remove their access on a date" and "Stop the link working on a date" used the browser's own date and time boxes, which looked different in every browser and nothing like the rest of the panel. They are now the same kind of control as every other choice in those dialogs: a calendar that will not offer a day that has already passed, shortcuts for tomorrow, a week and a month, and a time list with End of the day at the top.
- fixed
Download and "Open in WorkDrive" said the browser had blocked a tab it had just opened
11.01 taught both to say so when a popup blocker stops their new tab, and from then on they said it every time, in red, over a tab that had opened normally. New Zoho Document did the same after creating a file. The message now appears only when the browser really does stop the tab.
- fixed
Zoho documents had a plain grey icon
Writer, Sheet and Show files, including the ones New Zoho Document makes, showed the generic file icon in the list. They now carry the document, spreadsheet and presentation icons.
- fixed
The Copy button beside an existing link was out of line
In Share with anyone on the internet, the Copy button on each link that already exists had its icon jammed against the word and sitting out of line with it.
- fixed
Running the folder back-fill again could fail on the same records every time
When a back-fill created a record's folder but could not then save it to the record, the next run was meant to find that folder and use it. In a module whose folder held more than fifty record folders it could not see it, tried to create it again, and was refused because the name was taken - on every run, while Settings said a re-run would fix it. A re-run now finds the folder and uses it.
- fixed
Every action in the files panel now checks what it is acting on
Renaming, uploading, creating folders, previewing and downloading confirm that the file or folder belongs to the record's own folder before they act, as moving, sharing and deleting already did.
Version 11.01
WorkDrive In Zoho CRM 11.01 adds two items to the file row menu: Add to favourites, which marks a file or folder so you can find it again in WorkDrive, and Check out, which locks a file so nobody else can edit or replace it while you have it open. It also stops the Move and Copy destination list offering the folder a file is already in, and makes Download and "Open in WorkDrive" say so when the browser's popup blocker stops the tab they tried to open. This release is the files panel and Settings only. There is nothing to upgrade and nothing to enable: it reaches every org as soon as it is published, and a reload is enough. Modules, folders and settings are untouched.
- added
Favourite and check out a file from its own row
The row menu has two more items. Add to favourites marks a file or folder so you can find it again in WorkDrive. Check out locks a file while you work on it: it stays readable to everyone, but nobody else can edit or replace it until you check it back in. Both appear in every view, and a file that is favourited or checked out carries a small star or padlock next to its name, so the state is visible without opening the menu. Both confirm when they are done, and both put the row back the way it was if the request fails, rather than leaving a star showing on a file that was never favourited. Checking out a file changes it for the whole team, not just for you, so the message that confirms it says so in those words rather than in WorkDrive's.
- changed
Settings links go straight to their current addresses
The Guide, Changelog and Add a module links in Settings pointed at older addresses that still worked by redirect. They now arrive in one step.
- fixed
Move and Copy offered the folder the item was already in
In a folder holding a subfolder of the same name, the destination list showed both, with nothing to tell them apart - and one of them was where the file already was. Picking it did nothing on a move, and on a copy produced either a duplicate nobody wanted or a name-clash error. The list now leaves it out. Moving a file found through search still offers every folder it could genuinely go to, including the one you happen to be looking at.
- fixed
Download and "Open in WorkDrive" could appear to do nothing at all
Both open a new tab, and when the browser's popup blocker stopped that tab, nothing happened: no tab, no message. Inside a CRM record this is not rare, and the only thing to do was press the button again. They now say that the tab was blocked and that pop-ups need allowing for the page. Download also confirms that it has started, which it never used to. The same silence affected the two "Open WorkDrive" buttons on the error screen - the screen that appears when the panel cannot start at all, where that button is the only way out. They report for themselves now.
Version 11.0
WorkDrive In Zoho CRM 11.0 adds folder support for six more modules - Sales Orders, Invoices, Quotes, Purchase Orders, Campaigns and Tasks - and replaces the extension icon with a simpler mark that stays legible at small sizes. It also fixes large uploads that were cut off by a fixed time limit whatever their size, fixes a theme control that could look unresponsive, and stops actions being started again while they are still running. The new modules come with the package upgrade rather than with the widget, because each one needs a folder-reference field, a files panel and a folder-creating automation installed in your org. They start switched off: after upgrading, open Settings and enable the ones you want, then run the back-fill for any records created before you enabled them.
- added
Support for six additional modules
Sales Orders, Invoices, Quotes, Purchase Orders, Campaigns and Tasks are now supported alongside Leads, Contacts, Accounts and Deals. Each record in these modules receives its own WorkDrive folder, accessible from a files panel on the record page. Every new module has its own step in Settings, with the same folder-naming controls as the existing four: field selection, smart tags and a live preview. The defaults follow the field Zoho CRM uses to identify a record in list views - Subject for Sales Orders, Invoices, Quotes, Purchase Orders and Tasks, and Campaign Name for Campaigns. These can be changed before a module is enabled.
- changed
New extension icon
The previous icon was a detailed illustration that lost definition at the sizes Zoho CRM displays it. It has been replaced with a simpler mark that remains legible down to 16 pixels.
- fixed
The theme control sometimes appeared not to respond
It cycled through Light, Dark and System on each press, and one step of that cycle produced no visible change: "System" resolves to whichever theme the operating system is already set to, so leaving Dark on a dark system looked identical. The control is now a menu listing all three, with the current one marked, so every choice takes effect on the press that makes it. This affected both Settings and the files panel on a record.
- fixed
Large files would not upload
Every upload was given a flat 45 seconds, whatever its size, and was reported as failed the moment that ran out - so small files went through and anything bigger, such as a video or a scan, did not, however good the connection was. An upload is now given time in proportion to the size of the file. A cut-off upload could also leave a second copy of the file in the folder; that no longer happens. The progress bar moves while an upload is in flight, rather than sitting still until it finishes.
- fixed
Controls remained active while their request was still running
The module on/off switch, the files panel's Refresh, and the two sync actions could each be started again before the first had finished. Each is now unavailable until its request completes. A folder listing can also no longer be overtaken by an earlier one, which previously could display one folder's contents under another folder's name.
Version 10.0
WorkDrive In Zoho CRM 10.0 adds a back-fill step to Settings, so records that already existed when you set the extension up can be given their WorkDrive folders, and it lets you create a missing folder straight from a record's files panel. It also fixes a toolbar menu that would not stay open and a duplicate-folder bug in busy modules. The back-fill spends API credits, roughly in proportion to how many records need folders.
- added
Back-fill older records
Settings now has a fifth step. A record's folder is created at the moment the record is, so records that already existed when you set the extension up never had that moment and have no folder - pick a module, press Start, and they get one. It shows how many are done and how many are left, what the run has cost so far, and a Stop button. Stopping is safe: nothing is left half-done, and starting again carries on from exactly where it stopped - so is closing the tab, losing your connection, or coming back to it tomorrow. No record is ever given two folders. Records that could not be done are listed at the end with the reason for each one, so you can fix the cause and run it again rather than guessing.
- added
"Create the folder now" on a record
When you open the files panel on a record that has no folder, it now offers to make one there and then.
- improved
The back-fill is about ten times cheaper on this version
It writes the folder ids back in batches instead of one record at a time. The back-fill works on earlier versions too - upgrading only changes what it costs to run.
- fixed
The toolbar menu would not stay open
Clicking the gear in a record's files panel opened the menu and closed it again immediately.
- fixed
Folders could be duplicated in a busy module
Past fifty record folders, the extension could stop recognising one it had already made and create a second beside it - the record pointed at the new one, and anything filed in the old one was no longer reachable from CRM.
Version 9.0
WorkDrive In Zoho CRM 9.0 introduces automatic interface updates, support for WorkDrive Files on standard and custom modules, module controls, and a rebuilt File Panel with Light/Dark mode. It also includes several bug fixes and removes the Check for Update option. Package upgrades are only needed for major integration changes.
- improved
The interface updates itself from now on
The extension's screens are no longer shipped inside the package. They're served from our own servers, which means a fix or an improvement to the file panel reaches your org within seconds of us releasing it - no Marketplace upgrade, nothing for you to install, nothing to ask your admin for. Package upgrades are still needed when the underlying integration changes (new permissions, new automations). Those are rarer, and we'll say so in the release note when one is required.
- improved
A file panel on any module, including your own
There's now a single WorkDrive Files related list that can be added to any module in your CRM - the standard ones, and the custom modules you built yourself. It's created in your org automatically the first time you open the extension's settings. To put it on a module, open any record of that module and use Related List → Add Related List → Widgets → WorkDrive Files → Install. Once per module, and it stays.
- improved
Turn modules on and off
Each module now has a switch in Settings → Modules. Only the modules you switch on get a file panel and folder settings, so the settings page stops showing you forms for modules you don't use. Upgrading from an earlier version: nothing you already use switches off. Any module that already had folders set up stays on, exactly as it was.
- improved
Rebuilt interface
The file panel and the settings page have both been rebuilt. They open faster, the file list handles large folders better, and the whole thing now follows a proper light and dark theme - light by default, with a toggle in the panel's toolbar.
- removed
The Check for update card has been removed from Settings. With the interface updating itself, there's nothing left for it to tell you - and your package version is already shown in Zoho Marketplace.
- fixed
The file panel could appear completely blank inside a record. It now renders on every Zoho data centre.
- fixed
Normal first-run messages ("this module isn't set up yet", "no folder linked yet") were shown in red, as though something had gone wrong. They now read as information.
- fixed
The settings page reported a connection failure as "this team has no team folders you can write to", which sent admins to fix a permission that was never wrong. It now reports what actually happened.
- fixed
The button on the root-folder step said "Create module folders" even when you'd chosen a folder that already existed. It now says what it will actually do.
- fixed
The settings page logo didn't load.
- fixed
Both pages briefly showed the wrong theme while loading.
Version 8.0
A maintenance release. The list of existing share links now shows the real date each link stops working.
- fixed
The Links that already exist list showed every link as no expiry, even when you had set an expiry date. The list now shows the date each link expires. The links themselves always stopped working on the date you chose; only the label in the list was wrong.
Version 7.0
Share files and folders directly from the CRM record, either with anyone through a link or with specific people on your WorkDrive team. You can also see and withdraw every share from the same place.
- added
Share with specific team members.
Share any file, folder or subfolder with named people on your WorkDrive team. Pick them from a searchable list, choose their permission, decide whether they get an email, and optionally set a date when their access ends.
- added
See who has access.
The sharing window lists everyone who already has access to a file or folder and the permission each person holds. You can remove any one of them without affecting the others.
- added
See and revoke existing links.
Before you create a new link, the window shows the links that already exist, what each one allows and when it expires. Every link has Copy and Revoke buttons.
- added
More control over public links.
Choose what visitors can do: view, view and comment, upload only (folders), or edit. You can also allow downloads, set an expiry date, require a password, or ask visitors for their name and email before the link opens.
- improved
Two clear ways to share.
The separate Download Only, Full Access, Collect Files and Get link entries are replaced by two entries on every file and folder: Anyone with the Link and Specific Team Members. The folder menu offers the same two for the folder you are in.
- improved
See what you are granting before you grant it.
Both sharing windows state what you are about to give (the permission and, for links, what visitors can do), and update as you change the options.
- improved
File links now match folder links.
A file's link offers the same access choices and options as a folder's, instead of a fixed view-and-download link.
- improved
You choose the expiry.
Links no longer expire after a fixed seven days without telling you. Set an expiry when you want one; the list of existing links shows which links never expire.
- improved
Consistent dropdowns in both sharing windows.
- fixed
Choosing a sharing option used to create a live public link immediately, before you could read what that link allowed. A link is now created only when you press Create link.
Version 6.0
Fixes a warning that appeared on a correctly finished update, saying the extension and the file panel might be on different versions when they were not.
- fixed
A warning that fired on a finished update
After updating both the extension and the Module Pack, Check for Update on a record could warn that the two might be on different versions - directly beneath a banner confirming the panel was on the latest one. The number it compared against was written only when Settings was opened, so straight after an upgrade it still held the previous version, and an upgrade is exactly when nobody opens Settings. The comparison has been removed. A Module Pack left behind is still reported, by comparing the panel's own version with the newest one published - which is what the rest of that dialog already showed.
Version 5.0
Both halves of the extension can now tell you when they are out of date - including the file panel on your own modules, which Zoho never updates and never mentions. Plus a fix for field lists that came back empty on those modules.
- added
Check for update
Settings now has a Version panel, and the file panel has a Check for Update entry in its menu. Both tell you the version you are on, the newest one published, and when it was released - and if there is a newer one, take you straight to the download page.
- added
The Module Pack
The copy of the file panel you upload by hand for your own modules now has a name, and a version of its own shown beside the extension's. It is the one piece of this that Zoho never updates, and until now there was no way to find out which version an org was running.
- added
A warning when the two drift apart
The extension updates itself; the Module Pack does not. Open Check for Update on one of your own modules and it will say so when the two are on different versions - even when neither is behind the latest release. Nothing else in Zoho reports this, and a mismatch is the most likely cause of behaviour that cannot be reproduced anywhere else.
- added
A step-by-step guide where the work starts
Adding a module begins in Settings and finishes in two other consoles. The Add a module panel now links the full walkthrough, before the form rather than after it.
- improved
The update result opens as a dialog
Rather than a panel that grows underneath the button on a page that is already long. The action that follows from it - Update now - sits on the dialog's footer where it stays put.
- improved
Every version says whose it is
Each row is labelled: installed, or latest published. Four version numbers can be on screen at once and two of them could reasonably be called "the latest", so each one now says which it is.
- fixed
Field lists came back empty on modules you added yourself
On a module you added in Settings, the list of fields that names the folder - and Named from inside the folder-structure dialog - rendered empty when you returned to Settings, with no error of any kind. It looked as though the module had no fields that could be used. The lists worked while you were first adding the module and were gone the next time the page loaded. Leads, Contacts, Accounts and Deals were never affected.
Version 4.0
WorkDrive works on any CRM module now - the standard ones and the custom ones you built - with a single workflow action covering all of them, and Settings creating the folder-id field for you.
- added
Use WorkDrive on any CRM module
Until now this worked on Leads, Contacts, Accounts and Deals. It now works on any module in your CRM - standard ones like Products or Quotes, and custom modules you built yourself. In Settings, press Add a module, choose the module, choose the field that stores its WorkDrive folder id, and it provisions that module's folder. Folder naming, subfolder structure, smart tags and triggers all behave exactly as they do on the built-in four.
- added
Settings can create the folder-id field for you
Every module needs one text field to remember its WorkDrive folder. Instead of sending you to CRM's field editor with instructions, Settings now creates it - one button, correct type, correct length. This matters more than it sounds: a field created too short stores a truncated folder id, and everything afterwards fails with a vague no-folder-yet message that gives you nothing to go on. Made here, it is always right. Because CRM fixes a field's type and length permanently at creation, this only ever runs when you press the button - never on its own.
- added
The right field is picked for you when there is one
If the module already has a field clearly meant for this, Settings selects it and says so. Your own choice always overrides it, and there is now an Or create a new field link available at all times - not only when the list is empty.
- added
One workflow action for every module
A new WDFolderCreate action, attached to a workflow rule on any module. No separate function per module any more. When you attach it to a rule, it shows you what that module is actually set to do - which WorkDrive folder its records go under, how the folder gets named, which subfolders get created, and what the rule fires on - all read live from your settings. And if you build a rule for a module that has not been added in Settings yet, it warns you right there. Previously such a rule saved cleanly, ran on every new record, and quietly created nothing - and nobody found out until someone opened a record and found an empty folder panel.
- improved
A Changelog link in the Settings footer
- fixed
Renaming a record renames its folder on every module
On modules you added yourself, renaming a record was reading the folder id from the wrong field, finding nothing, and stopping - with no error anywhere. It now reads the field you named in Settings. Leads, Contacts, Accounts and Deals were never affected.
- fixed
An error thrown during page load
The file panel could report a connection error while it was still handshaking with the record page, before it had anything to show. Harmless, but it appeared in the browser console on every load.
Version 3.0
Bulk delete, sharing from any subfolder, and folders that no longer vanish when the field they are named after is empty - plus a rebuilt Settings layout.
- added
Bulk delete for files and folders
Tick several rows at once - in list or grid view - and delete them together. Every row has a tick box, the header has a select-all, and a bar shows how many are picked. It opens the same dialog a single delete does, so Delete permanently (skip the trash) is still there. The result is reported honestly: how many were deleted, how many are sitting in the trash, and how many failed.
- added
Share any subfolder, not just the folder you are in
A subfolder's row menu now offers the same three modes the current folder already had: Full share, Download only and Collect only.
- added
Folders named after a field the record has not filled in
A folder named from, say, Company used to be skipped entirely when the record had no Company - and filling the field in afterwards changed nothing, because there was no folder to rename. The folder is now created carrying the field's label instead. Fill the field in, press Sync Folder Structure in Settings, and the folder is renamed in place - subfolders and files inside it are untouched.
- added
The record's own folder in the Folder structure editor
The tree now draws the parent folder that every subfolder is created inside, so the structure reads as a whole.
- improved
Settings layout
Folder name is now Dynamic Root Folder Name. The three pieces of a name - fields, separator, extra text - sit on one row, left to right in the order they appear in the name. Triggers moved to a full-width panel below. Example folder and the module's folder id sit side by side, at the same height.
- improved
Colour in the Folder structure tree
Folder icons, the named-from-a-record-field marker and the fold toggle are colour-coded, and the move arrows now say which of two jobs they do: up and down reorder, left and right move in or out, in different colours, with a legend that matches. Smart tags inside a folder name are highlighted the way they are everywhere else in the extension.
- improved
Smart tags panel opens to the left
It used to open over the Extra text box it tells you to paste into.
- improved
The folder naming dialog
A proper header and footer, a close button, two rows of controls instead of four, and it is now always pulled into view instead of running off the bottom of the page.
- improved
Copy feedback on share links
The Copy button confirms with a tick; if the browser blocks the clipboard it says to press Ctrl+C instead of failing silently.
- improved
The Example structure panel is gone
The structure editor above it already drew the same tree.
- fixed
Move to trash skipped a safety check
Delete permanently verified that the folder belonged to the record before acting. Move to trash - the same dialog with the checkbox unticked - did not. Both do now.
Version 2.0
Share links stopped failing on long file names, and Settings now points at the guide and the video.
- added
Documentation and video in Settings
The full guide and the video walkthrough are one click away from Settings itself.
- added
Guide links in the install and uninstall mail
The welcome email sent on install, and the note sent on uninstall, both carry the documentation and video links.
- improved
One link, not two, in the Settings footer
The company name is now itself the link to our site, replacing a second link that went to the same place.
- fixed
Share links failed on long file names
Sharing a file with a long name produced an error instead of a link. WorkDrive rejects a share-link label past a limit it does not publish, so the label is now shortened before the link is created - and if WorkDrive still refuses it, the link is created under a generic name rather than not created at all.
Version 1.0
First public release.
- added
A WorkDrive folder for every record
Leads, Contacts, Accounts and Deals each get their own folder, created with the record. The folder id is stored on the record, so the link cannot break.
- added
The folder inside the record
Browse it as a related list: upload with progress, create sub-folders, rename, download, move to trash, restore, delete permanently, and search everything below the folder.
- added
Inline preview
Images, PDF, CSV, text and HTML open in the record, without downloading the file or leaving the page.
- added
Share links
For a single file or a whole folder, with full-access or download-only permission.
- added
Upload-only links
A customer can add documents to a folder without seeing or changing what is already in it.
- added
Smart folder naming
Folder names built from record fields plus smart tags — record owner, module, date, record id — with a live preview while you set them up.
- added
Bring existing attachments across
One click moves the CRM attachments already on a record into that record's WorkDrive folder.
- added
Admin Settings
Authorise the WorkDrive connection, create or reuse the root team folder, and set naming per module.
